Registering a private instrument by post

You can send the document by post.
  • You can easily submit your private instrument for registration via MyMinfin. If you are unable to use MyMinfin, you can also submit the private instrument for registration by post.

    1. Make a copy of the signed document.

      This is because the paper documents you send to the scanning centre will not necessarily be returned to you after scanning.

    2. On the copy of the document, mention the person offering the private instrument for registration.

      • names and surname
      • full address

      That person will receive the payment notice, if any, and the proof of registration or the refusal notice with the reason for refusal.

    3. Send the copy of the document in a sufficiently stamped envelope.

      Your private instrument relates to an immovable property

      • Go to our office directory.
      • Under ‘Registratie’ (‘Registration’), click on ‘Registratie van akten’ (‘Registration of instruments’).
      • Under ’Bevoegdheid’ (‘Competences’), select the option ‘Registreren van onderhandse akten (eigendom, vruchtgebruik, opstal, erfpacht, recht van gebruik en bewoning en erfdienstbaarheden)’ (‘Registration of private instruments (ownership, usufruct, building lease, ground lease, right of use and occupation and easements)’).
      • Type in the first letters of the municipality in which the immovable property is located.
      • Select the relevant municipality from the list.
      • Click the ‘ZOEKEN’ (‘SEARCH’) button.

      You have another private instrument

      • Go to our office directory.
      • Under ‘Registratie’ (‘Registration’), click on ‘Registratie van akten’ (‘Registration of instruments’).
      • Under ‘Bevoegdheid’ (‘Competences’), select the option ‘Registreren van onderhandse akten (met uitzondering van huurcontracten)’ (‘Registration of private instruments (with the exception of lease agreements)’).
      • Type in the first letters of the municipality in which you live.
      • Select the relevant municipality from the list.
      • Click the ‘ZOEKEN’ (‘SEARCH’) button.
  • If the private instrument meets the legal requirements, you will receive any payment notice and the registration certificate by post. That may take several days, depending on postal delivery deadlines.
